Maritim accelerates its document workflow with DIDO
The Maritim hotel group is impressed with the integrated document management solution provided by TA Triumph-Adler Norddeutschland GmbH. Following on from Total Output Management (TOM), the changeover to Digital Document Organisation (DIDO) is now underway. TA Triumph-Adler is now responsible for organisation of the group’s complete document management activities in all 37 Maritim hotels in Germany.
Nuremberg, 23 August 2011. The Maritim hotel group has been providing its guests with outstanding levels of comfort for over forty years. In a fiercely competitive market, only companies that invest in service and quality can survive. The employees working in the organisation need technology that is perfectly suited to their needs and that they can rely on. System failures inevitably lead to delays, which in turn have an impact on service and on guests.
A single provider for the entire country
Maik Nürnberger is Head of IT at Maritim, with responsibility for the hotel chain’s IT operations throughout Germany. He was looking for a professional organisation that provides everything from a single source, delivering a reliable, state-of-the-art IT solution for the document management activities of the entire hotel group. “With the exception of TA Triumph-Adler Norddeutschland GmbH, no company was able to offer us solutions and fast, uncomplicated service with just one contact for the entire country,” says Nürnberger, explaining the reasons why they chose the market leader in the document business.
With Total Output Management (TOM) from TA Triumph-Adler already being used successfully since 2008, the decision to implement DIDO was made at the beginning of this year.
Saving time and space with digital document management
DIDO is not a pseudonym used by a VIP hotel guest, but the name of the renowned solution for digital document management in a properly functioning IT infrastructure. Stefan Hesse, Sales Office Manager with TA Triumph-Adler, explains: “With DIDO, we can offer our customers audit-compliant digital storage of documents, rule-based forwarding and intelligent form management, for example.”
“We chose DIDO for a number of reasons,” says Nürnberger. “First and foremost, we want to accelerate our workflow. Invoices often have to pass through a number of different departments when being processed, which takes time. However, speed is of the essence when it comes to obtaining discounts. DIDO helps us to settle accounts much faster and makes our job much easier,” says Nürnberger. Another advantage is the space saved thanks to digital archiving. “In our hotels, we have to store food, drinks and many other items that we need for our guests during their stay. File storage is therefore a waste of valuable space. DIDO is the perfect solution for us,” says Nürnberger.
TOM delivers increased efficiency and reduced costs
The starting point for expansion with DIDO was the successful implementation of document management in all Maritim hotels in Germany. With TOM, the Total Output Management solution from TA Triumph-Adler, the hotel chain has reduced its documentation costs by just under 10%. At the same time, the Accounting Box solution provides greater cost transparency, monitors all systems, reports faults and orders new toner automatically. A new printing infrastructure for the entire country has thus been created and linked directly with the hotel software. At present there are 800 user-optimised and service-optimised systems in use to ensure that everything runs smoothly, and there are more to come.
It’s all about service
“Our business is centred around our guests. As customers, we expect the same from our partners. We don’t want to have to follow up with phone calls – the service has to be right first time,” explains Nürnberger. “I can rely on TA Triumph-Adler as a partner and always know who I can contact when I need assistance. This direct contact is extremely important to me.” And just to prove how good the service really is, TA Triumph-Adler received TÜV Süd certification in May – but that’s another story.
