Effective document management reduces administration costs
TA Triumph-Adler supports local authorities in northern Germany
Administration is still very much paper-based. However, public authorities are now being instructed to execute their procedures electronically as well. This presents them with a difficult balancing act, as they attempt to evolve into modern service providers while at the same time reducing costs. Nuremberg, June 9, 2010. Ask people on the street what kind of qualities they associate with public administration and you’ll get the same answers right across the country – antiquated structures, bureaucracy and outdated work practices are among the most common preconceptions. However, public authorities are currently undergoing a transformation and evolving into modern service providers. “The EU services directive requires public administration bodies to analyse their communication structures and to organise themselves efficiently,” explains André Polkowski, Sales Manager at TA Triumph-Adler Norddeutschland GmbH. The process of improving output management is already underway in many areas. However, this requires an integrated service concept that incorporates software and hardware as well as service and supports the creation of a sustainable process structure.
TA Triumph Adler has already proven its credentials for this task through its work with the administration departments of the local authorities in Hüttener Berge, Hohenweststedt-Land, Fockbeck, Mittleres Nordfriesland and the district town of Husum, where the foundations have been laid for integrated document management. As the first step, all systems were put to the test using the company’s own analysis and consulting concept TOM (Total Output Management) and realigned. “The decision to restructure the printing infrastructure was the right one,” says Polkowski. “The Accounting Box has proven to be particularly effective in improving the stability of the IT infrastructure.” Because all printing processes are managed centrally, support and administration costs are now much lower. “This is a major step towards e-government and it means we are now better equipped to deal with the growing challenges of modern administration,” says Klemens Ziemann, Head of IT Administration for the collective municipality of Hüttener Berge, confidently.
The aim is to have full digital administration of all documents. To achieve this aim, the local authorities are working with the specialists from TA Triumph-Adler to develop solutions including structured storage, filing and inbox/outbox applications. Efficiency is not the only benefit of this partnership. Significant cost savings can also be achieved, which is welcome news for local authorities faced with extremely tight budgets.
