Job done! Optimised workflow in document management
TA Triumph-Adler launches the new digital archiving concept MFP2Archive for multi-function devices in the office
With MFP2Archive, the Nuremberg-based company has created an application based on state-of-the-art technology, which acts as a direct interface between the multi-function device, archive and any number of other applications. Scanned documents are transferred directly to the appropriate target system.
Nuremberg, June 16, 2011
The garage mechanic closes the car bonnet and places the workshop order on the scanner of his multi-function device before even taking off his gloves. He types the order number on the touchscreen. And that’s it – job done! The invoice is created immediately in the main office. The customer’s invoice is ready before he even finishes his test drive. Workflow and cashflow go hand in hand. This is how the market leader TA Triumph-Adler sees the future of document management. And this future has already begun with the new MFP2Archive.
Direct and decentralised
The application transmits documents directly from the scanner glass to a wide range of target systems. It makes no difference whether it’s a DMS (Document Management System), ERP (Enterprise Resource Planning), CRM (Customer Relationship Management) or MS SharePoint system – the document is sent straight to the application without being copied to a clipboard. Paper archiving can thus be kept to a minimum, the entire work process is decentralised and valid across multiple locations and is configured individually.
New technologies create interfaces
This is all possible thanks to HyPAS. HyPAS stands for "Hybrid Platform for Advanced Solutions“, a completely new Java interface technology, which was specially developed by TA Triumph-Adler, the specialist in the document business, and the in-house software professionals of DocForms GmbH. It makes workflows simpler and faster, as the new MFP technology supports integrated software applications and programming can be customised. What’s new is the fact that the document is linked with all of the relevant data during the scanning process using a keyword, order number or other indexing data and undergoes further processing in the applications of the central location. The document is sent straight to the target application without being delayed or copied to a clipboard. After scanning, the system provides an image file with all of the linked data. MFP2Archive thus simplifies document processes and makes it possible to transfer data in digital format in real time.
Marco Knöpp, CEO of DocForms GmbH, a TA Triumph-Adler company, sums up the benefits: "MFP2Archive reduces process costs across the entire process. No paper wasted, no time lost. Our solutions are based on simplicity, freeing up the liquidity and capacity that our customers need for their core business.“
