09.10.2008: Uncovering hidden costs – putting document management to the test

Times are hard for hospitals and clinical practices. They are faced with the problem of rising costs and restricted revenues. For example, health insurers continue to pay a fixed amount towards patient treatment costs despite increases in staffing and energy costs. The only answer to this problem is to find ways of making savings. Costs are frequently hidden where you least expect them. It is possible to cut document management costs by around 15 per cent. Robert Feldmeier, Spokesman of the Management Board of TA Triumph-Adler AG, will explain how these savings can be made at the MARA conference in Cologne on October 11.

Nuremberg October, 9, 2008 – ‘Optimising patient procedures, cutting costs, maximising strategic opportunities’ is the theme of this year’s conference for key decision makers in radiology. TA Triumph-Adler works according to the very same principles: “Administrative expenditure in document management is a major cost driver. Almost 80 per cent of all clinics don't even know how much they spend on it. To save money, you must first produce a detailed overview of the actual costs incurred and then optimise your workflows accordingly,” explains Robert Feldmeier. The specialist for efficiency in the document business offers hospitals and clinical practices an attractive solution based on the Total Output Management (TOM) consulting and analysis concept. Following a detailed analysis of the cost structures, TA Triumph-Adler develops a concept for improving efficiency in document management that is tailored to the individual requirements of the organisation. Significant savings can be achieved by standardising hardware systems and outsourcing device maintenance. “Only around 35 to 40 per cent of printing costs are actually due to printing. The remainder is spent on installation, driver updates, administration and asset management. The majority of costs are therefore due to unforeseeable time outlay,” says Robert Feldmeier. This statement is backed up by the experience that TA Triumph-Adler has acquired in the more than 700 projects that it has successfully completed in the healthcare sector to date.

The digital archiving of documents also offers enormous savings potential for hospitals faced with an ever-growing mountain of files. Using the DIDO concept (Digital Document Organisation) for digital archiving, cost savings of around 70 per cent can be achived compared with storing records in paper form.
In addition, TA Triumph-Adler offers hospitals a complete digital basic archive. This guarantees structured long-term archiving for all patient records in a minimum of space and ensures that all documents are available from any workstation. The archiving of 15 million patient records takes no more space than an A3 sheet of paper. For clinics and hospitals, this means savings of 20 to 28 per cent on average with a complete solution consisting of an output concept and a concept for digital document management.
