The secret is out... Companies that archive their documents digitally achieve costs savings of up to 70 per cent compared with storing records in paper form. Yet experts reckon that around one third of all German companies still do not have a suitable solution in place for the efficient handling of documents. One possible reason for this is the fact that the digitisation and subsequent processing of documents that exist in paper form may seem too complicated to most companies. Dortmund, May 26, 2009 – The document business specialists in Dortmund are committed to providing efficient and integrated document management solutions from a single source. They have recently added a special digital pen to their modular DIDO (Digital Document Organisation) concept. DIDO is used for the prompt processing of digital documents across multiple sites. The digital pen writes just like a normal pen, but has a built-in infrared camera.
The camera makes the digitisation of handwritten documents quick and easy. This technology is already widely used in healthcare, logistics and market research. “These are all sectors that have had to deal with high print, copy and scan volumes”, explains Markus Pierburg, Head of Project Sales Software at TA West. “With the digital pen, the documents are made available in digital form in real time for further processing or for archiving. Using special software, handwritten notes can easily be converted into an electronic copy.” The secret lies in the paper, which is pre-printed with a special dot pattern that is then used for the forms to be completed by the employee. The digital pen uses this pattern along with the infrared camera to correctly identify the exact position of the text. This technology and the accompanying software can be adapted to suit a wide range of customer applications, including verification of signatures for IT compliance with statutory requirements.
Digital document processing offers numerous other benefits. According to a study by the Fraunhofer Institute for Industrial Engineering, it takes an hour to file 250 printed pages, but less than a quarter of an hour to perform the same task digitally. Given these figures, it is no surprise to discover that digital archiving is much more cost-effective. Instead of wasting valuable working time, employees are free to concentrate on their core tasks.
