International cooperation: Hitachi and TA Triumph-Adler

Hitachi Europe has digitalised its internal processes. The group is using yuuvis® RAD, the audit-proof and internationally operable ECM system from TA Triumph-Adler – and it's having a great effect on day-to-day work.

The starting point

The goal at Hitachi Europe was to go paperless in the office and implement an audit-proof ECM system that could be used internationally. "We wanted to be able to offer our internal customers digital invoicing, and also wanted to be able to process our incoming invoices digitally. Ensuring a high level of IT security in the process was particularly important to us," explains Lars Krüger, Manager of Strategic Planning, Hitachi Europe GmbH. "Our processes were taking far too long. We would print out invoices and send them by post to the head office in Japan twice a week." A decision-making process was needed which was automatically controlled according to the invoice amount, digital signatures had to be added to the documents, and archiving was required to be digital in order to enable access to the documents at any time, irrespective of location.

The solution                                                                  

Hitachi Europe chose to implement the yuuvis® RAD software provided by TA Triumph-Adler. It facilitates the development of customised invoice receipt workflows with automatic invoice reading and integration into the MS Dynamics AX ERP system. "TA Triumph-Adler gave us a demonstration of how to use yuuvis® RAD beforehand. Our employees were immediately impressed by the software. The high security standard of TA Triumph-Adler's Enterprise Private Cloud also appealed to us – no competitor was able to offer us that." The software efficiently digitalises and classifies invoices. All content is made searchable, after which metadata is automatically extracted and assigned. “The software offers us everything that we wanted: Invoicing workflows are now digital and automated, and our office has been almost paperless ever since. Documents can also be accessed easily from anywhere."

The result

The time savings have been tremendous – around 25 per cent – thanks to the overall acceleration of internal processes," explains Krüger. Paper consumption has dropped considerably, which is good for the environment and also reduces costs for the company, in addition to the greatly reduced postage costs. Documents are now much more readily available, and employees can access them from anywhere in the world – as well as from home. "We are particularly fond of the search function: We are now able to find any document quickly and easily. Working with TA Triumph-Adler has been great from a professional, technical, and interpersonal point of view. We know our contact persons, the lines of communication are short, and the support is fast and extremely professional," concludes Krüger.
